Hospital empanelment in India: what it takes, how long it takes, and where hospitals get stuck
Written by the Shield Bharat empanelment team — 15+ years, 150+ hospitals empanelled, 3,000+ clients across metros and tier 3, 4 and 5 cities.
What hospital empanelment actually means
Empanelment is the agreement that lets your hospital treat a patient cashless and bill the insurer, TPA or government scheme directly. Without it, a patient covered by health insurance, Ayushman Bharat, ECHS or CGHS will usually travel to a hospital that has it — even if your clinical capability is better. For most facilities this is the single biggest driver of admissions.
Every panel has its own application, its own document format and its own inspection. That is why hospitals with excellent clinical teams still end up with files sitting in a queue for months.

Why applications get rejected
In our experience the same four issues account for most rejections: incomplete annexures, documents in the wrong format, a facility that was not ready on inspection day, and nobody following up with the regional office. All four are avoidable — and all four are what we take off your desk.
How we handle it for you
- Free eligibility check. We review your registration, bed strength, specialities and ROHINI status — no charge, no obligation.
- Document gap analysis. You get one clear checklist. We prepare, format and verify every paper the authority asks for.
- Application filing. Online and offline submission handled by us, with the correct annexures the first time.
- Inspection readiness. Signage, registers, fire and biomedical compliance, staff briefing — so you clear in one visit.
- Follow-up until approval. We chase the TPA, insurer, Regional Centre or district office so your file never goes cold.
- After approval. Tariff revisions, portal access, claim training, renewals and de-empanelment appeals.
Frequently asked questions
How long does hospital empanelment take?
Most empanelments complete in 30–90 days. The variables are the insurer or scheme, how complete your documentation is, and inspection scheduling. We handle filing and follow-up so nothing stalls in a queue.
Which documents will you need from us?
Registration certificate, ROHINI ID, PAN and GST, doctor and staff credentials, bed and equipment list, fire and pollution NOCs, biomedical waste tie-up, photographs and your tariff sheet. We send one checklist and chase only what is missing.
Do you work with small hospitals and nursing homes?
Yes — a large share of our work is 10–50 bed nursing homes applying for the first time, including facilities in tier 3, 4 and 5 cities.
Is NABH mandatory for empanelment?
Not always. Pre-NABH (Entry Level) certification is accepted by most TPAs, insurers and several schemes, and it can run in parallel with your empanelment application.
What does it cost?
It depends on how many panels you want. You get a transparent, itemised quote before any work starts — no hidden charges and no per-visit billing.
We were rejected earlier. Can you still help?
Yes. We review the rejection reason, close the documentation or infrastructure gap and re-file with the right regional office.
